Stop letting routine admin slow down viewings
Office-based lettings support using your systems, your wording and your escalation rules. Put one repeatable enquiry-to-viewing workflow through a two-week pilot for £295.
£295 fixed | Up to 20 service hours | 10 UK business days | One agreed workflow
See whether a cleaner handover can protect time for landlords, applicants and negotiations
The useful question is not whether administration exists. It is whether routine steps can be documented, handed over and kept visible without weakening the agency’s control.
A clearer first response
Test one consistent route for acknowledging enquiries, gathering agreed details and moving suitable matters to the right person.
Fewer routine interruptions
See how much viewing confirmation, reminder and rescheduling work can be handled under approved availability and instructions.
More usable CRM records
Check whether agreed applicant fields, contact notes and follow-up status can be kept current as part of the same workflow.
Evidence before commitment
Review actual activity, exceptions and hand-off problems before deciding whether recurring administrative capacity makes sense.
One agreed route from routine enquiry to an agency-controlled next step
Together we select the channel, routine steps, working window and escalation points. Your agency keeps control of promises, decisions and non-standard situations.
Routine enquiry and viewing administration
- Monitor one agreed inbox, lead queue or CRM worklist
- Acknowledge routine enquiries using client-approved wording
- Collect the agreed applicant or viewing information
- Offer, confirm or reschedule client-approved viewing slots
- Create or update relevant CRM records and task status
- Escalate urgent, sensitive or non-standard matters
- Provide an activity summary at the end of the pilot
Whether the workflow is ready for recurring support
- Whether the agency’s instructions are clear enough to delegate
- Which enquiries can move without a negotiator’s intervention
- Where CRM fields, templates or escalation rules need improvement
- Whether the expected volume fits a part-time arrangement
- Which tasks still require immediate agency judgment
- What a continuing role brief should include
- Whether the handover is worth continuing at all
Know who is responsible for the first engagement
Nadeem Akram is a director of Meridian Edge Global Ltd and leads technical delivery. His experience spans more than 20 years across corporate administration, accounts, IT operations, infrastructure coordination and business systems.
For early pilot engagements, he oversees the written workflow, access boundaries and delivery coordination from MEG’s managed Islamabad office. The UK client retains day-to-day authority over its agency procedures and decisions.
A controlled first engagement without an automatic subscription
After a 15-minute call, we confirm the workflow, dates and responsibilities in a short written scope. Payment is due only when you choose to proceed.
This is a transparent rate illustration, not a guaranteed saving. UK provider rates, employment costs, experience, scope, taxes and service arrangements vary.
The £295 pilot does not renew automatically. After ten business days, you can stop, refine the workflow or discuss a continuing role.
Book a 15-minute callStart small, make the handover visible and review what actually happened
The 10-business-day operating period starts after the written pilot order, required instructions, agreed access and onboarding information are complete.
15-minute call
Identify the workflow, expected volume, current system, decision owner and desired outcome.
Simple written scope
Agree the routine steps, hours, coverage window, £295 price and proposed operating dates.
Controlled onboarding
Provide approved scripts, procedures, escalation rules, accounts and a named client manager.
Ten-business-day pilot
Operate the agreed workflow within the service allowance and record activity and exceptions.
Review and decide
Review what worked, what needs changing and whether an ongoing role is commercially justified.
MEG operates the agreed steps; the agency retains control
The written pilot order identifies the permitted work and the client’s nominated decision-maker. Anything outside that boundary is paused or escalated.
Managed pilot delivery
- An assigned pilot support arrangement from Islamabad
- Work within the documented service allowance and schedule
- Use of the agency’s approved wording and procedures
- Administrative recording and agreed progress information
- Escalation of exceptions to the nominated client manager
- An end-of-pilot activity and issue summary
Instructions, authority and decisions
- A named manager who can answer operational questions
- Approved scripts, fields, procedures and escalation rules
- Individual, limited system access where required
- Accurate property, availability and appointment information
- Timely decisions on non-standard or sensitive matters
- Review of the pilot activity and continuation decision
Confidentiality and data terms are considered before access is issued
The pilot order records the relevant systems, information, permissions, retention and offboarding arrangements. Data-processing and international-transfer terms are addressed where applicable to the actual structure. Do not send passwords, authentication codes or applicant, tenant or landlord information through the website form or ordinary email.
Turn what was learned into a properly defined ongoing role
The pilot does not silently become a subscription. A continuing arrangement requires a separate role brief, written proposal, candidate process where applicable and client approval.
Keep the successful steps
Retain the approved scripts, fields, escalation rules and reporting information that proved useful during the pilot.
Correct the weak points
Adjust unclear instructions, unsuitable access, unrealistic volume assumptions and tasks that require agency judgment.
Define recurring capacity
If justified, move to a part-time role from £995 per month or scope another arrangement around the confirmed workload.
Routine administration moves; agency judgment stays with you
The pilot is deliberately narrow. Anything requiring professional judgment, money handling, legal interpretation or an unapproved promise is escalated to your nominated manager.
Questions an independent letting agent should ask before proceeding
Why is this a paid pilot rather than a free trial?
The pilot includes a 15-minute call, written scoping, controlled onboarding, up to 20 service hours and an end-of-pilot summary. Charging a fixed fee allows both parties to treat it as a real operational engagement rather than an informal demonstration.
What does one workflow mean?
It means one documented operational sequence, such as receiving routine lettings enquiries, collecting approved information, arranging approved viewing slots and updating the relevant CRM records. It does not mean responsibility for the agency’s complete lettings administration.
Is £295 the complete pilot price?
It is the fixed price for the accepted standard pilot scope: one workflow, up to 20 service hours and 10 UK business days. Paid telephony, specialist software, additional hours, unusual schedules or work outside the agreed scope are not included. Any applicable tax is stated on the written quotation and invoice.
Does the pilot renew automatically?
No. The pilot ends after the agreed service allowance or operating period, whichever occurs first. Continuing support starts only under a separate written proposal or service order accepted by both parties.
Will the same person continue in an ongoing role?
That is not guaranteed by the pilot. The pilot delivery arrangement and any ongoing dedicated role are confirmed separately. A continuing role may require recruitment, interview and client approval before its start date is agreed.
Can the pilot make decisions for our agency?
No. MEG performs the permitted administrative steps under the client’s approved procedures. Valuation, negotiation, applicant approval, tenancy, compliance, legal, client-money and other professional or regulated decisions remain with the agency and its authorised personnel.
Can the pilot begin immediately?
We first agree the workflow and available dates with you. The operating period begins after the short written scope, payment, required instructions, applicable data terms and approved access arrangements are complete.
Does MEG guarantee faster lets, more instructions or additional revenue?
No. The pilot tests whether the agreed administrative workflow can be operated consistently within the documented conditions. MEG records activity and issues but does not guarantee commercial, property or conversion outcomes.
